Correspondence/subject files

Series consists of the subject and correspondence files of the Registrar and the Associate Registrar and cover the main activities of the office such as providing services to students, planning and organizing events including convocations and installations, administering scholarships and awards as well as acting as secretary to the Senate. The series is broken down into the following sub-series:

Records related to buildings and grounds

The Bursar's responsibilities with regard to property were initially the insurance of buildings and their contents. However, as the need for regular income became more urgent and evident, and as the University expanded and required more buildings, the Bursar's work likewise increased. The Bursar became responsible for the legal negotiations and accounting over purchases, sales and leases; and the supervision and funding of alterations and renovations and the construction of new buildings. Along with this, the Bursar dealt with property tax as the University was only exempt from this in respect to its property used for academic purposes.

Series consists of correspondence, studies, reports, appraisals, financial administration, agreements, plans, specifications and other records relating to the planning, expansion, renovating, maintenance, repair and construction work on campus buildings and grounds, as well as the establishment and funding of Victoria Theatre, the Isabel Bader Theatre, and the Vic Tennis Club.

The records related to the Vic Tennis Club are available in sub-series 1.
The architectural drawings and plans are available in series 23.

Records relating to functions

Series consists of correspondence, minutes, citations, addresses and other records, 1913-2022, relating to functions and events such as public lectures including the Davey Lectures and Ide Lectures, convocations and honorary degree ceremonies, centenary celebrations, honorary dinners, openings, events held at the Bader Theatre, and installations of Principals, Presidents and Chancellors.

Ephemera

Contains printed ephemera including programs, brochures, event announcements, forms, and more. Includes material from the VWA as well as its predecessor organizations.

Correspondence

Series consists of correspondence related to the Victoria Women's Association, including that of the association’s presidents.

Reports

Series consists of reports from various positions, councils, student unions, and committees within the Victoria Women's Association, including annual reports.

History and Recognition

Series consists of records related to the history and achievements of the Victoria Women's Association. Materials include books, pamphlets, certificates, guidelines, and general notes.

Records of the Board of Regents

Series consists of 5 sub-series that include the records created by the Board of Regents (minutes, reports, notes) and its preceding entity, the Victoria College Board as well as the records of the Chairman of the Board and the Secretary of the Board. Also contains records received by the Board including correspondence and reports and records related to arbitration related to the move from Cobourg to Toronto.

Records of the Nominating, Appointments and Governance Committee and preceding committees

Series consists of the records of the Nominating Committee, the Appointments Committee and records of the combined Nominating and Appointments Committee, later the Nominating, Appointments and Governance Committee.

Records of the Pension Committee

Series consists of records of the Pension Committee and records of the Pension Trustees who were responsible for Victoria University's two pension plans prior to the establishment of the Committee in 1990. Records include minutes, reports, copies of benefit plans and supporting records.

Records of the Campus Life Committee and preceding committees

Series consists of minutes of the Committee on Residence and Services (later the Campus Life Committee), correspondence, records related to budget matters, and reports of the Secretary.
Series also contains sub-series consists of the Records of the Burwash Hall and Men's Residence Committee, which preceded the Committee of Residence and Services, and the Wymilwood Management Committee (Student Union).

Series consists of records of the Seiziémistes Canadiens meetings ; the CSRS Annual General Meetings and executive meetings including minutes and agendas ; the Canadian Federation for the Humanities records ; CSRS newsletters and bulletins ; financial records ; records from the annual conference ; membership records ; correspondence ; directories ; records of the Secretary-Treasurer and the President, as well as other Renaissance associations' records.

Records relating to Victoria University

Series consists of meeting minutes, policies and procedures, planning documents, correspondence, reports and other records, 1968-2015, related to a range of University activities and administrative functions. Includes University acts, records related to human resources, health and safety, the management of administrative departments, the Victoria Women's Association, the Archives and institutions including the Bader Theatre, the Centre for Renaissance and Reformation Studies (CRRS) and the Records of Early English Drama (REED). Series also includes records related to buildings and properties owned by the University, to student residences, and exchanges as well as the official visits of the President to various institutions.

The series also contains congratulatory messages to Presidents upon their appointments, including messages to Professor Paul W. Gooch on his installation as President in 2001 and to Professor William Robins on his installation in 2015.

Records related in finance and investments

Series consists of records related to the University's finances and investments. Included are account books and ledgers, financial journals, financial daybooks, cash books, subscription books for fund raising, and other financial record books. Also includes some miscellaneous financial records as well as those related to the Pension Plan, annual financial statements and reports, procedure manuals, and budgets as well as financial oversight of student organizations.

Also consists of correspondence, minutes and articles relating to social responsibility in investments for the United Church of Canada and affiliated or related institutions, as well as policies and guidelines for investments and endowment spending.

Records relating to staff and human resources

Series consists of correspondence, personnel position descriptions, salaried job positions and other records relating to salaries, insurance schemes and pensions of all the staff at the University, 1940-1990; personnel files, including pension material, 1932, 1955-2005; and salaried position descriptions, reviews and related correspondence and other records, 1989-2008.

Also contains one sub-series with records related to Health and Safety

Research notes and article drafts

Series consists of research notes, bibliographical notes, notes and rough drafts, typescripts, etc. of articles that Joan Bigwood later published. Also includes several offprints from journals of her articles. Series also consists of a selection of index cards with bibliographical notes.

Records related to faculty and teaching staff

Series consists of files relating to human resources. Includes records of individual faculty/teaching staff and Appointment/Search Committees for teaching positions. Record types include CVs, correspondence re promotions and appointments, letters of recommendation, search committee minutes, and staff interviews. Faculty files contain CVs and often course outlines, correspondence, writing and articles, memorials, resolutions, obituaries and photographs, published articles, lecture papers and course evaluations. Also includes files related to visiting fellows and lecturers.

Subject Files

Series is arranged alphabetically and includes files related to a variety of topics including church history, speaking engagements, installations, lectures and conferences attended, budgets, policies, and general administration.

Notes for Reviews

Series consists of notes and drafts of reviews of other people's work that were published in academic journals.

Records related to real estate

Series consists of correspondence, leases and other legal agreements, court documents, surveys, deeds, mortgage records, sketches, financial and other records, 1871-2009, relating to the administering of properties owned by Victoria and not used for academic purposes, and for maintaining Victoria's interest in property developments which affected the University. The records relate to insurance, including liability, and the planning and development, management and leasing, acquisition and sales of property, taxes, property disputes and litigation.

The architectural plans and drawings have been separated into Series 23.

Records relating to academic administration

Series consists of correspondence, minutes, reports, notes, applications, cvs, lists and other records, 1915-2013, concerning academic administration, including individual personnel files for faculty and senior administrators, records related to faculty appointments, salaries, promotions and retirements as well as agreements with the Faculty Association, policies and procedures regarding faculty and librarians. Series also includes records related to the Library, academic departments, research grant applications, including Social Sciences and Humanities Research Council of Canada grants, and the hiring of Deans of Men and Women.

The records in accession 1989.130V consist primarily of correspondence, minutes, reports, notes, and lists; as the series title suggests, they are concerned primarily with the administrative details of the academic life of the university. The files of the Principals of Victoria and Emmanuel Colleges and the various departments deal with matters such as faculty appointments, promotions, leaves, retirements, and salaries. Other files provide information concerning the hiring of Deans of Women and Men, the selection of residence dons, the move of the United Church Archives to the Birge-Carnegie Building, the acquisition of the Coleridge papers and E.J. Pratt manuscripts by the library, and the creation of the Centre for Reformation and Renaissance Studies.

Correspondence

Series consists of incoming and outgoing correspondence of the Librarian relating to loans (including those to clergy), acquisitions, ordering publications, exhibitions, archives, staff, CRRS, security, funding, outreach, Physical Plant, and other subjects.

Records relating to Victoria College

Series consists of correspondence, minutes, reports and other records, 1975-2012, relating to Victoria College, its programs and committees, including the Vic One Program, the Academic Advisory Committee, the Property Advisory Committee and the Semiotic Institute. Series also includes records of the Victoria College Review, the search for a Principal and correspondence between the President and the Principal of Victoria College.

Records relating to the University of Toronto

Series consists of correspondence, minutes, reports, memoranda, statistics and other records, 1913-2011, relating to the University of Toronto. This also includes financial arrangements, fundraising, the Toronto School of Theology, programs, relations with U of T faculties and departments, and negotiations concerning the Memorandum of Agreement and Memorandum of Understanding. This series also contains nominations for University of Toronto honorary degrees by Victoria University presidents.

Files on Victoria College Council and its committees

Series consists of general correspondence relating to Council business, 1970-1980, 1986-1990, and governing by-laws, 1977-1990; minutes, reports and correspondence of the Academic Advisory Committee, 1972-1988, and various other Council committees, 1963-2011. While most of these records pertain to internal College matters, many also document the evolving relationship with the University of Toronto.

Series includes minutes (including Executive), 1991-2011; correspondence, catalogues, promotional material including invitations, photographs, notes, membership and other records, 1992-2009, re diverse events and activities staged and/or promoted by the Friends, including exhibits, receptions, presentations, lectures, auctions, visits, screenings, tours, festivals, discussions, readings, and appraisals - speakers have included writers, artists, scientists and historians; also includes correspondence, reports, promotional material, minutes, notes, financial and other records re the annual book sale, 1992-2006

Records relating to The Collected Works of Northrop Frye

The Collected Works of Northrop Frye is a thirty volume series of University of Toronto Press publications that began in 1996 and continued until 2012; it published annotated versions of Northrop Frye’s books, correspondence, essays, speeches, notebooks, diaries, and interviews with Frye, edited by international Frye scholars.

Series consists of three sub-series relating to the production and editing The Collected Works of Northrop Frye: general records, 1991-2011; records of the General Editor, 1995-2011; and records of the Associate Editor, 1992-2011.

General Records

Series consists of subject/correspondence files, 1993-2011. Predominantly from the Collected Works Associate Editor, Jean O'Grady, on various NFC matters, including reviews of non-Collected Works items, requests for information, fellowships, and conferences.
